We are looking for a skilled and talented Executive Assistant that is interested in becoming a trusted partner on the Chief Executive Office team.


What is special about this team:

The Chief Executive Office team assists the Director of the Chief Executive office and our Chief Executive Officer with day-to-day tasks, including calendaring, expenses, meeting preparation, and travel details. The goal of this team is to ensure that anyone that comes into the office feels at ease and welcome. This is a small but mighty team that is laser-focused on the details and is led by the Manager of the Chief Executive Office.

In this role, you will assist the Manager of the CEO Office with the tasks that help keep the Director of the Chief Executive Office and the Chief Executive Officer operating effectively and efficiently.  Your attention to detail will be key in this effort. This opportunity provides exposure to leadership and an opportunity to help many facets of the office run smoothly.


Responsibilities include but may not be limited to:

  • Scheduling tasks ranging from appointments to organization and maintenance of departmental to multi-divisional appointments, calendars, meetings, conferences and/or seminars. Directly for the Director, Chief Executive Office and indirectly for the Chief Executive Officer.
  • Receiving and screening visitors/telephone calls, providing information, preparation, and maintenance of files/records/reports.
  • Maintaining office supplies, organizing maintenance & cleaning work orders, mailings, and lunches internal & external.
  • Organize & coordinate special events, and dinners, and work with executives’ home office on details and planning.                 
  • Data collection and/or distribution tasks are completed; ranging from collection, research, compilation, summarization, and formatting of data; preparation of meeting materials. 
  • Maintenance of budget records/reports; proofreading/editing of documents; and/or composition of standard correspondence.
  • Participation in Task forces/staff meetings may be participated in at upper classification levels.
  • Provide support and on-call support to Chief Executive Officer when Office Manager is on vacation and/or out of the office.


Required qualifications:

  • Minimum of 3 years of experience working as an Executive Assistant.
  • Bachelors degree is preferred, but not required.
