Be the Face of Amway: Office Administration Intern
As an Administration Intern, you will support the daily operations of the office and be one of the first points of contact for employees and guests. This role combines front office responsibilities with hands-on administrative support, helping ensure everything runs smoothly on a day-to-day basis.
You will play an important part in creating a welcoming and well-organized office environment, supporting meetings, guests, and internal initiatives – including employee engagement activities such as a Health Day project.
Principal Responsibilities:
- Front Office & Administrative Support: Be responsible for daily front office activities, including welcoming external and internal guests, managing meeting room bookings and key cards(badges), supporting basic administrative tasks.
- Office Environment & Supplies: Ensure the office runs smoothly by ordering and managing office supplies, fruit, and refreshments, and keeping common areas organized and functional.
- Guest & Meeting Support: Prepare meeting rooms, arrange caterings and transfers, welcome guests on-site, clients, and support the organization of internal meetings and visits.
- Mail, Couriers & Deliveries: Handle incoming and outgoing mail and e-mail, coordinate couriers, receive deliveries, and distribute packages within the office.
- Facilities & Maintenance: Coordinate and follow up with service providers (e.g. cleaning, maintenance, technical services), report and monitor issues, and ensure all office-related services are delivered on time and to the expected standard.
- Employee Engagement & Health Day Project: Support employee initiatives, including coordination of a Health Day event (planning, logistics, and execution).
- Finance & Onboarding Support: Assist with invoice verification and support new colleagues during their first days in the office (onboarding process).
Required Knowledge, Skills, Abilities and/or Related Experience:
- Communication: Good command of English (min. B2) and confidence in interacting with different people, including external guests.
- Tech Skills: Basic knowledge of MS Office (Outlook, Word, Excel, PowerPoint), Canva and ability to handle everyday office tools and tasks.
- Organization & Multitasking: Well-organized, detail-oriented, and comfortable managing multiple tasks in a dynamic environment.
- Soft Skills: Proactive, reliable, and service-oriented, with a positive and professional approach. Comfortable working with people, building good relationships, and creating a positive experience for employees and guests.
- Education: Final-year student or recent graduate. A degree in Administration, Management, or Business Communication is an advantage.
